Summary

The first step in preparing to install eSM is generate a pharmacy report. The eSM Pharmacy Report displays a list of all of the pharmacies within your EMR. the report also lists the number of prescriptions sent to each pharmacy over the last 90 days. This report should be used to assist with the clean-up of the practice pharmacy list.  

About the Pharmacy Report

The Pharmacy Report displays a list all of the pharmacies within your EMR. The report also displays the number of prescriptions that have been sent to each pharmacy over the last 90 days. There are two pharmacy report tools. One tool is for Oracle and the other one is for SQL. Clinics using EMR 5.6, 2005, 9.2 should use the Oracle report. Clinics running CPS2006/CPS 9.x should use the SQL report.

You must run the Pharmacy Report to:

  • Identify duplicate pharmacy entries. Duplicates should be merged or deleted prior to install of eSM. Please contact GE if you encounter entries which cannot be merged or deleted. Each pharmacy on the prescribing network can only be matched once to pharmacies in the EMR.
  • Locate pharmacy entries missing information. Pharmacy matching done based on phone and fax numbers, so please add any missing phone or fax numbers . These should also be resolved prior to the install of eSM.
  • Locate any different pharmacies which have identical names. Every pharmacy must have a unique name prior to installation of eSM.

Once the pharmacy cleanup has been completed, a clean pharmacy report should be generated and kept for your reference.

NOTE: This report should be run after hours at large clinics. This report contains no Patient Health Information (PHI).

Maintaining a clean pharmacy list

A clean pharmacy list is necessary for eSM installation and beyond. Even after you submit the eSM Pharmacy Report, you will need to make sure that incoming data (from your practice management system or other sources) does not compromise the information you have resolved. You may choose run the pharmacy report at later dates to review analyze your EMR pharmacy database.

 

1a. Running the eSM Pharmacy Report on an Oracle database

To prepare to run the Pharmacy Report for Oracle Databases:

  1. Verify that SQL*Plus is installed on the machine that will run the Pharmacy Report. Here's how:
    1. Click Start > Run.
    2. Type sqlplus, and then click OK. If Sqlplus is installed, a command window is displayed with a prompt to log in to the Oracle database. If Sqlplus is not installed, install it now by modifying the Centricity EMR Client. Run the Centricity EMR setup, and select Oracle Admin instead of basic.
  2. Verify the TNS Service name. Here's how:
    1. Click Start > Control Panel > Administrative Tools > Data Sources (ODBC).
    2. Select MLO_, and then click Configure. The TNS service name is displayed. Write this down.

To Run the pharmacy report for Oracle, follow these steps:

  1. From the Pharmacy Report page of the Kryptiq Customer Support Web site, download the Pharmacy_Report_Oracle.zip file and save it to the C: drive on your computer.
  2. Extract the contents of the Pharmacy_Report_Oracle.zip file to the root of C:
    1. Right Click on the the Pharmacy_Report_Oracle.zip file and select Extract All
    2. Click Next and then Next for the files to be extracted to C:\eSMReport
    3. Click Finish and leave Show Extracted Files Selected
    4. The folder will open showing the eSMReport.BAT and eSMReports-MOD.sql files
  3. Run the report by double clicking the eSMReport.BAT
    1. Enter the Centricity EMR database username (ml is the default username) and press Enter
    2. Enter the Centricity EMR database password (ml is the default password) and press Enter
    3. Enter the TNS service name for the Oracle database and press Enter

For larger clinics, this report may take 30-60 minutes or even longer.

 


1b. Running the eSM Pharmacy Report for CPS 2006

To prepare to for SQL databases (e.g. CPS2006/CPS9):
Before you begin, you will need to know:

  • The name of your SQL server
  • The name of the Centricity SQL Database
  • The administrator user and password

Follow these steps:

  1. From the Pharmacy Report of the Kryptiq Customer Support Web site, download the eSMReportSQL.zip file and save it to the C: drive on your computer.
  2. Use the ODBC Data Source Administrator to create a system data source so that you can ensure that you are running the utility with a user name and password that can access your CPS SQL database.
    1. Click Start > Control Panel > Administrative Tools > Data Sources (ODBC).
    2. On the User DSN tab, click Add.
    3. On the Create New Data Source page, click SQL Server, and then click Finish.
    4. On the Create a New Data Source to SQL Server page, type eSM for the Name and Description.
    5. In the Server field, enter the name of the server on which your CPS database is saved, and then click Next.
    6. Select the second option on the next page to indicate that SQL Server should verify the authenticity of the login ID With SQL Server authentication using a login ID and password entered by the user.
    7. In the Login ID and Password fields, type the login ID and password for your CPS administrator, and then click Next.
      If you are unsure of the name of your Centricity SQL Database, check the Change the default database to box and click the down-arrow. A list of possible SQL databases will be presented. Select the correct Centricity SQL Database.
    8. Click Next to accept the defaults on the pages that follow, and then click Finish.
    9. Click Test Data Source to verify that you can connect to the database successfully, and then click OK and close the ODBC Data Source Administrator. If it fails, retry either with different login credentials or selecting a different database (step g above)

       

  3. Extract the contents of the eSMReportSQL.zip file to the root of your C: drive.
    1. Right-click the eSMReportSQL.zip file, and then select Extract All.
    2. Click Next, and then Next again to extract the files.
    3. Click Finish, leaving Show Extracted Files selected.

  4. Run the report:
    1. Double-click eSMReportSQL.bat.
    2. When prompted for the username and password, type the CPS administrator user name and password that you used when creating the user DSN.
    3. When prompted, type the SQL server name and CPS database name. The report (all-pharmacies.csv) is created on the C: drive.

For larger clinics, this report may take 30-60 minutes or even longer.

Note: If you receive an error 'sqlCmd' is not recognized as an internal or external command, operable program or batch file. or any other problem prevents the all-pharmacies.csv file from being created, run the pharmacy report batch file on the EMR SQL database server directly.
